Understanding wholesale billing
A distributor's billing problem is not a retailer's. A retailer rings up walk-ins at one price. A distributor sells the same SKU to a dealer, a sub-distributor and a retailer at three different rates — often on 30/60/90-day credit, and frequently across state lines where the tax becomes IGST instead of CGST + SGST. Generic retail software assumes one price, one counter, one state. That assumption breaks on a distributor's first bulk invoice.
Per-buyer price tiers, and credit as a business model. Dealer price, sub-distributor price, retailer price — set once, tagged per buyer, applied automatically the moment you pick the customer. Most wholesale sales are on credit, so you need a limit per party and one ageing view of every due — not just stored invoices. Compliance lands harder on B2B volume (the 2026 layer). e-Invoicing (IRN) is mandatory since 1 August 2023 for any business whose AATO crossed ₹5 crore in any FY since 2017-18 — a missing IRN means your buyer loses Input Tax Credit. Businesses with AATO ≥ ₹10 crore must report each invoice to the IRP within 30 days (since 1 April 2025). e-Way bills are required for goods movement above ₹50,000. And the GST rate reset of 22 September 2025 abolished the 12% and 28% slabs (most 12% → 5%, most 28% → 18%) and added a 40% sin/luxury rate — old rates in your item master repeat the same wrong tax across 100 lines.
Multi-unit, multi-godown, multi-GSTIN is the norm. Cartons that stock as pieces (1 carton = 24 pieces), stock split across godowns, and more than one GSTIN across states — all run from one login or not at all.
